You can manage your Shift Event from the Action Manage page.
To export a list of your event RSVPs, click the RSVPs tab on your Shift Event manage page, and then the Download CSV button. A report will be compiled and emailed to you when it's ready. The report will contain each RSVP's name, email address, mobile number, address (if you are an Action Network partner), city, state or province, ZIP/postal code, country, source code information, number of guests the attendee is bringing, assigned shifts, and other relevant data. Optionally you can choose a start or end date and only download RSVPs in that range, and you can also add additional custom field columns that are not present on the event itself, to pull additional data into the download.
Under the title of the event, there are links to View Shift Event and Edit Shift Event. When you edit your shift event, your attendees will receive an automatic email reflecting the changes you've made. You can duplicate a shift event to use as a template for another action. You can edit the tags linked to this action. If you add a tag to an action, everyone who RSVPs receives this tag on their record. You can edit the URL for the action and change it to something else. If you want to immediately unpublish this shift event or schedule it to take place later automatically, click Unpublish. Your attendees will receive a cancellation notice that you can edit in the Responses tab.
Below this, you can create emails, reports, and ladders targeted to action takers. Ladders are not retroactive, so be sure to set these up before sending your action out to your activists.
You can apply a page wrapper you've previously created by selecting it from the drop down menu. Here's more on creating page wrappers to customize your actions.
On this page you'll see several tabs you can use to manage your action and track action takers. Under the Shifts tab, you'll see a list of all shifts in your Shift Event, as well as the number of RSVPs to each individual shift. You can click the Edit icon to edit the time and date of the shift, and override the virtual link or RSVP limit for. Your attendees of that shift will receive an email reflecting these changes. You can click the three dots next to the shift to export RSVPs for that specific shift or cancel it altogether.
Viewing latest 100 activists
In the RSVPs tab, you are able to preview the latest 100 action takers and what shifts they signed up for under the Assigned Shifts column in a table above the reporting buttons. Only administrators with the Activists permission enabled will be able to view personally identifiable information on activists in this section. This table will show all the data that would be downloaded by the report buttons, so you may not even need to generate or download at all!
You can also download a Shift Report, which includes a list of every shift, its details, and the number of RSVPs for each shift. This is useful for reviewing attendance across the full Shift Event.
You can also remove activists' submissions from here. This will also remove the action from their activist record. Check off the box next to their name or check off 'all' in the top right. Then click 'remove submissions' on the left.
Giving report access
You can choose who can download event RSVPs in the Report Access section. Any administrator of your group will have access to this section. But you can give additional people access to these RSVPs by typing in their email address and sending them an invitation. They will not be able to edit the action, only access the ‘RSVPs’ tab. This can be useful if you’re working with another organization on a co-sponsored event or you want to give someone like your co-host a list of all the RSVPs.
When you send the invitation for someone to access the RSVPs, they will receive an email with a link to create an account (if they don’t have one already), a link to view the report, and instructions not to delete that email. As the administrator, your email address will be in the reply-to, so they can contact you with any questions. You’ll receive an email when they’ve accepted the invitation. They will have limited view of the action manage page, and only be able to view the event, the last 100 action takers, generate a new report, or download the last generated report. The original creator of the action will be notified that report access has been granted to another user.
As the administrator, you can scroll down on the Report Access tab to see the ‘People with Access’ section. Here, you can see who still has not accepted access and created an account — they will have two buttons next to their email address that allow you to ‘resend invite’ or ‘cancel invite’.
You can also see who currently has access to the report. You’ll see a red ‘remove’ button next to their name, which will remove access from the report. If you remove them from report access, if they try to access the report again they will be redirected to their dashboard.
